Location:  Central Administration Building,  320 West 24th St., Kearney,  NE  68845

 

Classified Hourly position

 

40 hours per week         2080 hours per year

260 days per year          FTE = 1.00

   

Benefits:         BCBS (KPS will pay for single employee health and dental benefits)

                        Holidays - 8 per year

                        Sick Leave  - 1 day per month

                        Vacation - 10 days after 1 year of employment

QUALIFICATIONS:   

  1. Education:  At least an Associate’s degree or equivalent from 2 year college or technical school.
  2. Experience:  2 years related experience or equivalent.
  3. Possesses secretarial skills, including a high level of computer and organizational skills.
  4. Excellent accounting skills, including an accounts payable and/or payroll experience.
  5. Excellent written, oral and telephone communication skills.
  6. Works well with various personalities.
  7. Works independently; punctual; analytical; focused and productive.
  8. Able to count money and bundle for deposits.
  9. CPR preferred.                                                    

     

ESSENTIAL JOB FUNCTIONS:  (Include, but are not limited to) 

 
Receptionist Responsibilities
  1. Receives and transfers incoming calls for district’s main telephone line.
  2. Greets and directs visitors.
General Office Duties
  1. Processes Student and Staff Incident reports
  2. Processes student work permits and Senior Citizen passes.
  3. Maintains KPS Admin Building Meeting Room Calendars.
  4. Maintains and distributes keys and fobs for the KPS Admin building.
  5. Assists Superintendent in the absence of the Executive Secretary.
  6. Assists the Executive Secretary in Severe Weather Drills or Actual Emergency.
  7. Assists District Registrar with enrollment and registration process.
  8. Assists Human Resource department with Employee hire packets.
  9. Process inter-school mail daily.
  10. Process postal mail for pick up by Mid-West Connect daily.
  11. Works with community organizations in distributing informational materials to students or updating website.
Board of Education Duties
  1. Develop agenda and takes minutes on electronic meeting management system at Board of Education meetings, and maintains official minutes book in the absence of the Executive Secretary.
  2. Sends public notices to local newspaper prior to all Board meetings in the absence of the Executive Secretary.
  3. Responsible for correspondence with the Board of Education in the absence of the Executive Secretary.
Finance Department Responsibilities
  1. Prepares and distributes correspondence.
  2. Distributes faxes from GoldFax.
  3. Maintains PaperCut software. Distributes monthly reports from PaperCut.
  4. Assists with Administrative Salary Survey.
  5. Assists with Statistical Handbook/Annual Report.
  6. Orders supplies from Eakes.
  7. Orders supplies from Cash-Wa.
  8. Orders beverages from Coca-Cola including incentive program.
  9. Processes Financial Month-end reports
  10. Counts, receipts and deposits student activity account monies. Take deposits to bank daily.
  11. Secretary for the District Safety Committee. Develop meeting agenda, sends notice of meeting, take minutes at meeting and distribute the minutes. 
  12. Arranges meetings with district personnel.
  13. Prepares Budget Book and State Budget forms.
  14. Maintains MAAPS / MIPS Faculty and Staff lists quarterly.
  15. Updates MAAPS / MIPS Financials quarterly.
  16. Process monthly paper Payroll advices for postal mail.
  17. Assist verifying Payroll pre-note information during New Fiscal Year setup.
  18. Assist verifying Payroll employee account codes during New Fiscal Year setup.
  19. Performs other duties as requested by the Director of Finance.
